You receive an individual Babelway certificate. Signatures are therefore different between 2 Babelway customers. The ID number of the Babelway account is displayed in the visible symbol. So the answer is: Babelway signs for you but Babelway uses individual signatures for each customer. The Babelway signature is yours.

The law requires that you get the approval from your customers to send them electronic invoices. Ask them why they refuse and check whether we can accomodate their requests. Our experience tells us that this happens less and less

XML Printer is a windows-based application. It requires Windows (XP, Vista, Windows 7, Windows server 2003 or 2008). It also requires .Net Framework 3.0.

This means you cannot install XML Printer and BabelInvoice. However, you can adopt another transfer method of your choice. What matters is that we get structured data, in whatever format (CSV, XML, ...). We have many clients who have installed a transfer method via a text file. This text file is then transformed in Babelway into a nice looking PDF with signature and certificate. This becomes our standard Babelway offer. Check on Babelway or contact us for assitance.

It doesn't matter. However, note that if you have extended BabelInvoice to send XML or other structured data, the change in format will require a change in Babelway.

By default, BabelInvoice sends what you see on your screen, nothing else. BUT, if you want to avoid to change your template, give us a PDF version of your stationery and we'll add it as a background of all your invoices.

Your organisation is cc: on the email sent to your customer. The attached PDF is the copy of the original invoice, including the signature and the certificate. Keep these invoices safely as your tax controller could request them.

In case your tax controller is not happy with the PDF + the Babelway signature and certificate, the ulitmate proof is to send the disputed invoice to Babelway. All messages and all certificates can be traced back in time. If that invoice has transited via Babelway at some point in time, we can release the information related to the origin and the time it transited thanks to our archiving system secured by a certified timestamping authority.

We can assure that Belgian companies can safely use BabelInvoice with all their customers. However, we cannot answer on behalf of customers located in parts of the world where we don't exactly know the regulatory environment. This is up to them to check that this method to send or receive invoices is acceptable. The best advise is to check with their local tax controller.

XML Printer and BabelInvoice are located on your local PC. Take a copy such that you can reinstall them yourself. If this is not possible, you can either download the latest version available (that may require changes to your settings since it's new) or contact us to access your original version (which implies you know the version number).

BabelInvoice is a special Babelway package to easily SEND invoices. To receive electronic invoices, you should either scan incoming paper invoices (Babelway can recommend partners for this) or ask your suppliers to send you electronic invoices, in wich case Babelway can be used to properly format electronic invoices and create an automated entry into your internal applications. In fact, yes, you can send whatever you want. It will do the same as for an iinvoice: add your electronic signature, store it securely and email the document with a PDF attachment.

BabelInvoice ensures that there is an advanced electronic signature on the outgoing invoices and that a timestamped trace is securely archived. It is therefore legal in those countries where the advanced electronic signature and timestamped archiving is legal to guarantee the authenticity and integrity. If you are unsure for your contry, ask your tax controller.

In case of delivery failure (eg. Invalid email address or rejected email), you will receive a failure alert. There is always a possibility (like for postal mail) that the invoice is not delivered and there is failure notice. This is very rare but this is inherent to the sending of emails. If your customer claims that he didn't receive your invoice, you can resend your copy.

Babelway offers several configuration options to address this request: the email can include a web beacon that traces the opening of the email (this is like in email campaigns). You can also configure your email with a link to your invoice (instead of attaching it to your email). When the customer clicks the link to download the invoice, Babelway keeps a log of it.

When opening a Babelway signed PDF document using Adobe PDF reader version 7.x (released in 2005), a red X mark is displayed instead of the green tick mark. If this mark is a bit scarying, it doesn't lower the cryptographic validity of the signature. You can click on the 'Signature Property' panel:

Babelway is using very modern technology to ensure the perenity of the security. Babelway has selected the signature algorythm SHA-512 to issue its own certificates. Unfortunatly Adobe PDF reader version 7.x only supports SHA-1.

The easiest way to solve this issue is to upgrade to Adobe PDF reader version 8.x or 9.x.
